In a world where technology does not stop and continues to be faster and improved, it does not take long to fall behind.
Business owners would all agree that with the “right tools you can get the job done right.” This applies to any industry in all facets of a business. For example, in a building trade company, employees require the right tools and materials to complete a job correctly. Desktop or Laptop:
When it comes to deciding which of these to purchase, it is important to keep in mind the functionality, portability and power you require. If your staff require a desktop because they need extra power and only work on their desks, then desktops are a perfect fit. Whereas, if your staff are constantly away from their desks or out on the road meeting with clients or partners or have the option to work from home, laptops and notebooks are the best option.
Printers and Copiers:
Before purchasing a new printer/copier, consider what the key uses of the machine will be. Will you need to print colour, double sided and have multiple paper trays to minimise time taken to change paper? Does it need to provide photocopying, faxing and email capabilities? The key thing to consider before a new purchase is, will this new piece of hardware meet your business needs now and in the future? This is very important to mull over to ensure that you do not get stuck with a huge printing machine that performs like a full blown factory, but purchase a machine that actually suits your key business needs. An option for many businesses is to purchase a multi-purpose machine that encompasses all functions including copying, printing, faxing and scanning and does not require you to purchase multiple machines that perform individual tasks.
Servers:
Servers are a very important part of your IT environment and should not be treated lightly. Generally speaking there are three levels of servers: entry level, mid-range and high range. When it comes to choosing what size server is required for your business, you need to be aware of the varying costs aligning with the size and capacity. Please keep in mind that the bigger and more expensive you go the more perks you get, like much higher levels of memory, better warranties and dual processors etc. However, like the desktop situation, ensure that when you are looking at purchasing a server that it will meet your current and ongoing data and storage growth. Also, be cautious of the varying brands with regards to compatibility, parts and warranties as they do differ.
Mobile Devices:
Mobile devices can be a great addition to your business. These devices can provide your business with remote access to emails, data and internal documents as well as access to your servers. When purchasing these devices it is important to purchase devices based on their usability, availability of data and the required functions necessary for business practice. For example, purchase notebooks or smart phones that have enough memory but are not too bulky or inconvenient to hold or use away from the traditional work environment.
Key tips:
1. Make sure that the equipment you buy is suitable for a business network environment.
2. If you don’t have an IT professional in-house, when you buy new equipment, arrange for the vendor to install it.
3. To reduce complexity of multiple brands and styles of hardware, consider limiting your purchases to a few brands and types of equipment that you trust and are familiar with.
